The Association needs to comply with the General Data Protection Regulation [GDPR] which took effect in the UK from 25th May 2018. It replaced the existing law on data protection i.e. the Data Protection Act of 1998 and gives individuals more rights and protection in how their personal data is used.
The 6 main data protection principles by which personal data must be processed are:
- Processed lawfully, fairly and transparently.
- Collected only for specific and legitimate purposes.
- It should be adequate, relevant and limited to what is needed.
- Must be accurate and kept up to date.
- Stored only as long as necessary.
- Ensure appropriate security, integrity and confidentially.
At the present time the Association, in the form of the Hon Secretary, maintain an accurate computer file of member information that contains for each member:
- Name
- E-mail Address – where applicable
- Telephone number – land line and mobile [where applicable]
- BCGBA registration number – league players only.
- Date of Birth
The contents of the file are obtained from the player registration form completed by each team. The file is updated when members join or leave the Association or if there is a change of circumstance such as new contact details. No personal information is displayed or passed on to any third parties without prior consent. Player details are passed to Lancashire CGBA and British CGBA for the purpose of registration.
The information is necessary to ensure the smooth running of the Association so we can advise members of activities, matches, postponements, check player availability, etc.
Members have the right to view their data at any time and withhold information if they see fit. It is also used to give members access to the members’ area of the Association’s website. All personal information on the website is password protected; We periodically post about events and include the occasional picture and names of members.
Please remember that if you have a change of telephone number, etc to advise the Hon Secretary as soon as possible.
